Cancellation Policy

We want you to register with confidence. Here's exactly what happens if your plans change — no fine print, no surprises.

Can't make it? Transfer your spot to a friend.

For all programs, you can transfer your registration to another person free of charge — as long as you let us know with enough notice (see each section below for specific deadlines). Just email us with the new participant's name and contact info and we'll take care of the rest.

Clinics & Day Camps

Single-day clinics & youth camps

This applies to all single-day clinics, youth bike camps, skills sessions, and multi-day day camps where no overnight accommodation is included.

Domestic Overnight Retreat

Valemount Women's MTB Retreat

This applies to the annual Valemount Women's Mountain Bike Retreat and any future domestic overnight retreats. No deposit is required to register.

International Retreat

Costa Rica Women's Adventure Retreat

International retreats involve significant advance planning, supplier commitments, and costs that cannot be recovered at short notice. Please read this section carefully before registering.

Non-refundable registration deposit

A CA$500 deposit is required to hold your spot. This deposit is non-refundable under any circumstances, but is fully transferable to another participant up to 14 days before the retreat.

Travel insurance strongly recommended. We strongly encourage all Costa Rica participants to purchase travel insurance that covers trip cancellation, medical emergencies, and travel disruption. This protects your investment if something unexpected prevents you from attending. AIL is not responsible for non-refundable flights, accommodation, or other travel costs booked independently.

Smoke & Heat Policy

Wildfire smoke & extreme heat

BC summers mean we need clear policies for smoke and heat. We use the official government thresholds so you always know exactly what to expect — and why.

Wildfire Smoke

We monitor the Air Quality Health Index (AQHI) — the official BC government measurement for smoke and air quality risk, available at gov.bc.ca.

AQHI 1–6 (Low to Moderate)
Program runs as normal. We may reduce intensity and increase water breaks.
AQHI 7+ (High Risk)
This is the official BC government threshold for high health risk from smoke. See program-specific response below.
AQHI 10+ (Very High / Above Scale)
All outdoor AIL programs will be cancelled or postponed regardless of type.

Extreme Heat

We use forecast maximum air temperature as our guide. Humidex (feels-like) may also be considered.

Under 35°C
Program runs. We prioritize shade, frequent water breaks, and reduced intensity in peak heat.
35–37°C
We may modify the program — shorter sessions, earlier start times, or adapted activities to minimize heat exposure.
38°C or above

How we respond by program type

Youth Day Camps

We will always do our best to keep camp running — we understand families depend on childcare. When AQHI hits 7+ or temperatures reach 38°C+, we adapt: moving activities indoors, adjusting the schedule, reducing exertion, and prioritizing shade and rest. Camp will not be cancelled for smoke or heat unless conditions reach AQHI 10+ or make a safe indoor option impossible.

Bike Clinics & Riding Programs

Mountain biking is high-exertion and cannot safely be moved indoors. If the AQHI reaches 7 or the forecast high reaches 38°C, we will reschedule the program. Your registration transfers automatically to the new date. If you cannot make the rescheduled date, you will receive a full program credit. Cash refunds are not issued for smoke or heat rescheduling.

How to check AQHI: Visit gov.bc.ca/airqualityhealthindex or download the WeatherCAN app (free, from Environment Canada) which shows real-time AQHI and can send you alerts for your location.

We'll always communicate early. If we're monitoring conditions for a scheduled program, we'll notify registered participants by email at least 24 hours in advance whenever possible. Last-minute changes due to rapidly shifting conditions will be communicated as soon as the decision is made.

Weather Policy

What happens with bad weather

Weather is something we work with, not against. Here's how we handle different situations.

Rain & overcast

We ride rain or shine. BC trails are built for it — wet riding is part of the experience. Come prepared with a rain jacket and you'll have a great time.

Trail closures

In rare cases of extreme conditions or official trail closures, we'll adapt the plan. We'll always try to run the program in some form before considering a reschedule.

If we reschedule

If we reschedule due to weather, your registration transfers automatically to the new date. If you can't make the new date, we'll offer a program credit. Cash refunds are not available for weather-related rescheduling.

If Adventuring Into Life cancels a program

In the rare event that we need to cancel a program for any reason — including insufficient enrollment, safety concerns, or circumstances beyond our control — all participants will receive a full refund of all fees paid, including deposits. We'll notify you as early as possible and do everything we can to help you make alternative plans.
